Gmail: Responding to Email

If you get an email that should have attachments but doesn’t, they aren’t simply lost. Something deliberately removed them along the way. Google doesn’t generally strip attachments from incoming emails, though it will do so in specific instances for security and bandwidth reasons. However, in many cases the problem doesn’t come from Gmail itself but rather from issues on the sender’s end or from interference in the middle.

An Attachment Has Gone Missing From A Message In My Inbox In Apple Mail

Some Apple Mail users have reported that previously visible attachments seem to ‘disappear’. This fault is common to all users of Apple Mail . Although generally a good email program, it can exhibit this problem when connecting to some email systems .

The problem occurs when a message does not completely download from the central system: if Apple Mail doesn’t find the end of the attachment, it ignores it. This explains why, when you check back later, the attachment is showing. Although the fault has existed for some years, Apple have not yet fixed the problem, and as it stands, there is no satisfactory resolution. Some users have been able to work around the problem. For example:

EITHER: highlight a message which you believe contains attachments, then open the File menu and choose Save Attachments . Some users have reported that even though there are no attachments showing in the message, they are able to do this and then view the attachments by going to the location where they’re saved.

OR: if you suspect a message should have an attachment, try logging on to webmail at

http://webmail.sussex.ac.uk

to check the same message. Outlook Web App does not have this particular bug, so that will tell you for certain if the attachment is there or not.

OR: It has been suggested that rebuilding the mailbox will circumnavigate the bug that causes this error. In Apple Mail, choose Rebuild from the Mailbox menu. The inbox should be restored with attachments visible.

Prohibited File Types And Sizes

Gmail doesn’t permit you to send or receive certain file types, particularly executable files or corrupted files. As of 2013 it also doesn’t enable you to send or receive attachments above 25MB in size. To get around the file type prohibition just have the sender manually change the file extension to an acceptable one, like JPG. When you receive the file, simply change it back to the original extension. To get around the file size prohibition, have the sender use a file compression utility like 7-Zip or WinRAR to split the file into two or more parts and email them individually.

How To Keep An Attachment When Replying To An Email In Outlook

Outlook does not include attachments automatically when you reply to people who sent them to you. This helps conserve bandwidth and minimizes the sizes of messages that people send. Although people may not need copies of files they emailed you, you have the ability to include those attachments in your replies. You wont find a button that helps you do that in your message composition window, but you will find a setting in the Options window that forces Outlook to include attachments with replies.

Tips

  • Remember that large attachments take longer to send. If your recipients have slow Internet connections, it may take a while for them to view your attachment. If they pay for excess bandwidth usage, it also may cost them more to download large attachments. If you don’t need to reply with an attachment, do not select “Attach Original Message” in the “When Forwarding a Message” drop-down menu. Other menu options include “Include Original Message Text” and “Include and Indent Original Message Text.” Those options only include the sender’s original text in your reply.

Warnings

  • These instructions apply to Microsoft Outlook 2013. Your steps may vary depending on the Outlook version you use.

  • Check with the sender. The original sender may have not uploaded the files properly, or they may have forgotten to add them to the email in the first place. Occasionally during a reply, youll need to reattach a file or files emailed to you. One example might be because youre including someone new in the mail thread and want them to receive what you were sent. Another could be if the original sender cant seem to find their copy and requests you send them yours. Gmails Include original attachments cuts down on the steps needed to do that.

Instead of hunting down and attaching files youve been sent and downloaded already , or forwarding the original senders mail back to them which by default includes the attachments, but clears the To:, CC:, etc. just do a normal Reply and look for the three dots menu in the lower right. Click it and choose Include original attachments and youre good to go:

You can add new recipients to your reply as described in the first example above, or simply hit send as needed in the second example.

Email Attachments Disappear When Sent To Others

Whenever I send an attachment through Outlook, the recipient receives the email without the attachment although they sometimes say that it got renamed to winmail.dat.

It happens to all attachments regardless of who I send it to and the format of the file . If I send the same attachment through web mail or from another computer, the attachment remains intact and is received in the email.

I’ve tried turning off my anti-virus program but that’s not made any difference, so I’m assuming the issue must be within Outlook itself.

Another common reason for this to happen is when you are sending in RTF-format and the message doesnt get properly converted to the HTML or Plain Text format.

Especially in the cases where they receive a winmail.dat attachment it is very likely that Rich Text is to blame here but it can be absent as well.

The best thing is to never compose your messages in RTF-format as you can only really rely on this format when you are in an internal Exchange environment with only Outlook clients but that is a whole different technical story of its own.

The options to prevent sending out Rich Text emails are a bit scattered throughout Outlook since it can be controlled at Outlook, Contact and Message level.

How To Forward With Attachments In Gmail

  • 3.

Enter the recipients in the “To” field and compose the rest of your message as normal.
