      When using a mail client for accessing a Gmail based mailbox, we can use the following protocols-

      • POP3 and IMAP protocols for polling E-mail message from the mailbox stored on the mail server to the local desktop.
      • SMTP protocol mail client uses the SMTP protocol for forwarding E-mail message to the mail server.

      In the current article, we will relate only to the IMAP mail protocol because the POP3 protocol is older and includes fewer options compared to the IMAP protocol.

      Before blaming Google for this issue, theres something you can try first, especially if you set your account up using IMAP. Try to add your Gmail account to Outlook once again, but pay careful attention when entering the server settings, which look like this:

      • Incoming server: 993
      • Incoming server encrypted connection: SSL
      • Outgoing server encrypted connection: TLS
      • Outgoing server: 587

      The trick here is to choose TLS in the Outgoing server encrypted connection menu before typing 587 in the Outgoing Server. If you do it the other way around, the 587 may revert back to Port 25 which can;cause connectivity issues.

      If after doing this, Google still seems to be blocking Outlook from accessing Gmail, then you will need to change some settings in Google, not in Outlook. Google claims that this is done for the safety of your account, but it seems to me that Outlook shouldnt necessarily;be on the list of risky apps.

      Allow Access To Less Secure Apps As A G Suite Administrator

      • Sign in to your
      • Go to security -> Basic settings
      • Under the Less secure apps section, navigate to settings for less secure apps
      • In the window, select the option, Allow users to manage their access to less secure apps . This will enable access to less secure apps to the G Suites users within the selected group or organization.

      • To enable the setting as a user, log in as the G Suite user and visit: to toggle Less Secure Apps access.

      The good news is Google did not block access completely. They still allow Basic Authentication for these less secure apps to work with Gmail. The only thing is you must explicitly enable Basic Authentication via the Allow less secure apps option in Gmail.

      If an app or device needs access to any part of your Google account like your Gmail it has two options. The first is to use an OAuth token, which allows you to log in without transferring any username or password data. The second is to log in directly to your G Suite account with username and password.

      Google considers apps that use this second method to be less secure apps , and limits their ability to connect to things like Gmail. This means that with certain apps, like older versions of Outlook, some IMAP email clients and CalDV calendars, you wont be able to log in to Gmail at least, not with default settings.;

      Right now, you can keep using these less secure apps with a quick change to your G Suite settings.

      For the moment, you can still connect less secure app access to Gmail. However, you cant plan on that always being the case

      If you use an app that is less secure, you should plan to upgrade. For some apps, like older versions of Outlook, a quick update may be enough to solve this problem. For others, you may need to wait for an update or switch to an app that is considered secure by Google.

      Starting in , Google will limit the ability for less secure apps to access Google Workspace account data. This is most likely to impact users of legacy email, calendar, and contacts apps.

      LSAs are non-Google apps that can access your Google account with only a username and password. They make your account more vulnerable to hijacking attempts. Instead of LSAs, you can use apps that support OAutha modern and secure access method.

      Access to LSAs will be turned off in two stages:

      Gmail considers regular email programs and backup programs to be “less secure”, so in order for them to get access into your account, your “Allow less secure apps” option must be turned on.

      • Log in to your account
      • On the left navigation panel, click on security

      • G Suite Admin: the setting may have been turned off by your G Suite administrator. In which case, follow the instructions down below or contact your g Suite administrator for further help.
      • 2-Step Verification: less secure app access is not available for accounts with 2-step verification enabled. If youre one of those users, then create an application-specific password to access your application.

      If you have to allow an application to access your Google account, you can disable this security block.

    • Next to Allow less secure apps: OFF, select the toggle switch to turn ON.
    • Visit the Display Unlock Captcha pageand click Continue;to remove the security block.
    • The Allow less secure apps setting may not be available for:

      • Accounts with 2-Step Verification enabled. If 2FA is already enabled on your account, you should create an application-specific password and use this password for your application. If you still cant access your account with an app password, visit the Display Unlock Captcha pageand click Continue;to remove the security block.
      • Google Workspace users: This setting may not be available if your Google Workspace administrator has locked less secure app account access. Please or contact your Google Workspace administrator for help.
