The Obstacles We Will Have To Cross When Configuring Outlook Access To Gmail Mailbox
So lets assume that we have an Outlook installed on our desktop, and we want to use Outlook for connecting our Gmail mailbox.
Q1: Can we use the Outlook mail client to access Gmail mailbox?
A1: Yes, we can, but we will need to update few configuration settings in our Gmail account.
To complete successfully the mission of connecting our Outlook mail client to a Gmail mailbox, we will need to Jump over several obstacles.
Obstacle 1- the need to configure our Gmail account to support IMAP protocol
Gmail, enable us the option of connecting our Gmail mailbox using POP3, IMAP, and SMTP protocols. To be able to use these protocols, we will need to enable this option via our Gmail mail settings.
Obstacle 2- the need to configure our Gmail account to support Basic Authentication
Since July 15, 2014, Gmail updates the default client authentication settings. This update will prevent from Outlook mail client to use the default IMAP authentication protocol which describes as basic authentication. To enable Outlook client, access our Gmail mailbox, we will need to loosen the Gmail security settings, by turn ON the option of Allow less secure apps. Another option is to configure the Outlook client to support the authentication mechanism described as 2-step verification.
Obstacle 3- the need to know + set the required configuration setting needed for accessing Gmail mail servers.
Configuring Gmail To Support The Imap Protocol
When using a mail client for accessing a Gmail based mailbox, we can use the following protocols-
- POP3 and IMAP protocols for polling E-mail message from the mailbox stored on the mail server to the local desktop.
- SMTP protocol mail client uses the SMTP protocol for forwarding E-mail message to the mail server.
In the current article, we will relate only to the IMAP mail protocol because the POP3 protocol is older and includes fewer options compared to the IMAP protocol.
Configuring your Gmail mailbox to support the IMAP protocol
- On the top menu bar, select the menu Forwarding and POP/IMAP

Allowing Less Secure Apps To Access Your Account
Google may block sign-in attempts from some apps or devices that do not use modern security standards. Since these apps and devices are easier to break into, blocking them helps keep your account safe.
Some examples of apps that do not support the latest security standards include:
- The Mail app on your iPhone or iPad with iOS 6 or below
- The Mail app on your Windows phone preceding the 8.1 release
- Some Desktop mail clients like Microsoft Outlook and Mozilla Thunderbird
Gmail Less Secure Apps Setting
Gmail users may receive the following error message when sending out email from Procare:
The title says: Email Delivery Issue. The message says: Email has failed. If problem continues, please check your schools email configuration settings or contact your network administrator. Verify all the SMTP server settings and connectivity
If you have already confirmed that this message is not a result of the Typical Causes of Email Error Messages, the issue/solution is likely that Gmail, in order to prevent unauthorized access to your email, requires you to allow access for what it calls less secure applications.
To enable the option in Gmail: Log into your account at Gmail.com, then open another tab and go the Less Secure Apps Setting, and select Turn on.
You may also check the Gmail article on this subject.
Note: If the Gmail screen does not have the choice to Turn on and Turn off access, then you have either a business class or Google apps account. Settings for these types of accounts can only be modified in the Google Console, which is accessible by your companys system administrator.

Reasons Why Gmail Isnt Working In Outlook
Before blaming Google for this issue, theres something you can try first, especially if you set your account up using IMAP. Try to add your Gmail account to Outlook once again, but pay careful attention when entering the server settings, which look like this:
- Incoming server: 993
- Incoming server encrypted connection: SSL
- Outgoing server encrypted connection: TLS
- Outgoing server: 587
The trick here is to choose TLS in the Outgoing server encrypted connection menu before typing 587 in the Outgoing Server. If you do it the other way around, the 587 may revert back to Port 25 which can;cause connectivity issues.
If after doing this, Google still seems to be blocking Outlook from accessing Gmail, then you will need to change some settings in Google, not in Outlook. Google claims that this is done for the safety of your account, but it seems to me that Outlook shouldnt necessarily;be on the list of risky apps.

How To Change The Gmail Less Secure Apps Setting
December 30, 2020 Devin Partida
If an app or device needs access to any part of your Google account like your Gmail it has two options. The first is to use an OAuth token, which allows you to log in without transferring any username or password data. The second is to log in directly to your G Suite account with username and password.
Google considers apps that use this second method to be less secure apps , and limits their ability to connect to things like Gmail. This means that with certain apps, like older versions of Outlook, some IMAP email clients and CalDV calendars, you wont be able to log in to Gmail at least, not with default settings.;
Right now, you can keep using these less secure apps with a quick change to your G Suite settings.
Managing Less Secure App Access To Gmail
For the moment, you can still connect less secure app access to Gmail. However, you cant plan on that always being the case
If you use an app that is less secure, you should plan to upgrade. For some apps, like older versions of Outlook, a quick update may be enough to solve this problem. For others, you may need to wait for an update or switch to an app that is considered secure by Google.
Devices that use less secure sign-in will probably be safer than apps. Some scanners, for example, use less secure sign-in methods to log-in to email accounts and send finished scans.;
According to Googles 2019 blog post, scanners that use simple mail transfer protocol or LSAs to send emails will continue to work, even after the phase-out. Google does, however, recommend you find a scanner that uses OAuth if you upgrade.

Turn On The Option Of Allow Less Secure Apps
As mentioned, the default Gmail password protocol setting, will not allow Outlook mail client to successfully connect to a Gmail mailbox.
For example, in case that you configured your Outlook mail client to connect your Gmail mailbox using IMAP protocol, the following password window will appear:
The window apparently telling us that we need to re-enter the user name or the user password, but in reality, this is not the problem! Even when the credentials that we provide are correct, the password protocol that Outlook uses does not match the required password protocol that needed for the Gmail mail server.
The password window doesnt provide us detailed information about the real cause of the problem so in most of the scenarios; the user will be frustrated by the fact that he needs to re-enter his password repeatedly without managing to connect to his Gmail mailbox.
Turn ON the option of Allow less secure apps
To be able to inform Gmail that we want to revert back to the less secure password option, which enables Outlook client to use basic password protocol, we will need to turn ON the option named- Allow less secure apps
- Login into your Gmail mail account
- Select your picture or your name icon
- Click on the button My Account
- Look for the section named Sign-in & Security
- Select the menu Signing in to Google
- Scroll down and look for an option named Allow less secure apps
- By default, the option configured is OFF

Google Workspace Admins: Important Security Changes Coming
Starting in , Google will limit the ability for less secure apps to access Google Workspace account data. This is most likely to impact users of legacy email, calendar, and contacts apps.
LSAs are non-Google apps that can access your Google account with only a username and password. They make your account more vulnerable to hijacking attempts. Instead of LSAs, you can use apps that support OAutha modern and secure access method.
Access to LSAs will be turned off in two stages:
- After June 15, 2020 Users who try to connect to an LSA for the first time will no longer be able to do so. This includes third-party apps that allow password-only access to Google calendars, contacts, and email via protocols such as CalDAV, CardDAV, IMAP, and Exchange ActiveSync . Users who have connected to LSAs prior to this date will be able to continue using them until usage of all LSAs is turned off.
- After February 15, 2021 Access to LSAs will be turned off for all Google Workspace accounts.

Outlook And Gmail Mailbox
When we mention the phrase accessing our Gmail, the first association that appears in our mind is using our favorite web browser for viewing the content of our Gmail mailbox.
Although the browser mail client has a distinct advantage because we dont need to install or configure the software client, the web interface is quite limited compared to the abilities of a software mail client such as Outlook.
