Quickly & Easily Clean Up Your Gmail Inbox

To archive or delete all emails in your Gmail inbox at one time, open Gmail and:

  • Enter in:inbox in the Gmail search field.

  • Select the check box at the top of the Select column to choose all the emails.

    If you have tons of emails in the Inbox, you might see a link called Select all conversations that match this search. Choose that link to select everything in the Inbox.

    When you search for everything in your inbox, the selection includes messages in the inbox tabs, including Primary and Social.

  • To archive all messages from the inbox, click the Archive button, which is located immediately to the right of the Select check box in the header. When messages are archived, the messages are still available through All Mail and search, but those messages are gone from your Gmail inbox.

  • To delete all messages instead of archiving messages, select the trashcan to move the emails to your Trash folder, from which messages are permanently deleted after 30 days.

  • Sort Your Emails Using Gmails Search Function: The Simple Version

    Now lets return to your inbox again. Our next step is to filter your emails such that only the emails youre thinking of deleting will show up.

    You may have noticed that the search bar at the top of the page contains a small gray arrow at the right side of the box. If you hover your cursor over the arrow, it will say Show search options.

    Simply fill in the drop-down list with your desired search terms, which youll ideally create based on the type of documents you want to delete.

    For example, lets say I am interested in deleting documents which contain attachments, are larger than 6 MB in size, and are older than 6 months old.

    Consequently, I would check the box that says has attachments, under size, select greater than from the first drop-down list, key in 6, and select MB from the second drop-down list, and under date, select 6 months from the drop-down list, and select todays date from the second box . As such, my completed search box will look like this:

    Then all I have to do is click the big blue button depicting a magnifying glass on the bottom left, and Gmail will pull up all the emails that fit my search parameters.

    A Few More Tips For Inbox Zero:

    You can proceed to archive older emails as well by year thats helpful you can search through emails quickly using a Gmail search operator like after:2019/01/01 before: 2019/12/31.

    You can just file your old emails for when you need to search them, or, if you really want to get organized, you can return to that Inbox 2020 label and clean it out even more thoroughly unless you have a ton of storage and dont really care how much is archived. However this is a great quick fix to get you on a better path right off the bat.

    -If you can continue following the touch it once rule act on an email as soon as it comes in, whether its to file for later, archive, delete, or respond youll be able to keep up a lot better. Then, when you have a little more time, go back to that dated label and you can pare those down too.

    Snooze Emails For Later

    Speaking of hover actions in Gmail, you now also have the option Snooze emails. This option removes emails from your inbox only to bring them back later, which is perfect for anything you need to act on eventually but cant act on right now.

    The functionality is simple: just click the Snooze hover function and choose when youd like to see the email again. When the time is up, the message shows back up in your Inbox.

    How To Clean A Gmail Inbox

    While it is hard to ignore an overflowing inbox on your physical office desk, it is very easy to accumulate thousands of read and unread messages in your Gmail account.     Open Gmail and type is:read in the search bar. At this point, you should only see those emails you have already read . With your read email on display, check the box to select all of the messages.

    If you have a ton of unread messages, you will have only selected the first 100 . To select all of those unread messages, you must click the Select All Conversations That Match This Search link . Note: This link will only appear if you have more than 100 unread messages.

    One word of warning: If you see an email listed that you don’t want to be deleted, if you uncheck it you will revert the Select all conversations that match this search option. In other words, you need to make sure you’ve collected those read emails you want to save into a different folder before going through this. Now, we need to delete all of those read emails by clicking the Trash icon .

    After clicking the Trash icon, you’ll be prompted to OK the bulk delete of the read email. Click OK and every one of those read emails will be sent to the trash. Depending on how many read emails you are deleting, this can take some time. In the end, you’ll have a much cleaner Gmail inbox.

    Cleaning an inbox typically means removing the items you no longer need, and setting up a structure that allows you to minimize the presence of unnecessary emails in the future. There are several advantages to this approach:

    • Reduce storage. By default, Google will give you 15 GB of storage space, and you may have access to even more if youre paying for an account.
